A document upload can fail because the file is too large, in the wrong format or difficult to read. Before uploading, check what the employer requires and prepare each file accordingly.
You can scan documents with a phone or scanner. This guide explains how to capture clear pages, reduce file size and combine documents into a PDF without losing important information.
1. Read the Upload Requirements First
Check the instructions beside each upload field. Do not assume that the same requirements apply to your photograph, CV and educational documents.
Write down:
- Accepted format: For example, PDF, JPG or PNG.
- Maximum size: The limit for each file, or a total attachment limit if stated.
- Dimensions: Any required image width and height.
- Document arrangement: Separate files or one combined file.
- Required pages: Whether both sides or several pages must be included.
For example, a portal might accept a photograph as JPG but require an educational certificate as PDF. Uploading the same format everywhere may not work.
If the instructions are unclear about combining documents, ask before preparing one large file.
Understand File Size and Image Dimensions
These are different measurements:
- KB and MB describe how much storage a file uses.
- Pixels describe an image’s width and height.
An image can have the requested dimensions and still exceed the file-size limit. You may need to check both.
When a maximum size is stated, aim slightly below it. A file displayed as exactly “1 MB” may still exceed the portal’s limit because the displayed figure is rounded.
2. Prepare the Document and Scanning Area
Place the document on a flat, clean surface. Use even lighting so that every part of the page is readable.
- Clean the phone’s camera lens.
- Flatten the page gently without damaging it.
- Choose a background that makes the document edges easy to see.
- Keep fingers and unrelated objects outside the image.
- Avoid shadows from your hand or phone.
- Check for glare on laminated cards or glossy documents.
Natural light can work well, but direct sunlight may create glare. Move the document or change the light angle if part of it becomes difficult to read.
Do not remove lamination or alter an original document to improve the scan.
3. Scan with Your Phone
A document-scanning feature usually helps identify page edges, straighten the image and save several pages together. Review the result rather than accepting every automatic adjustment.
On Android Using Google Drive
If Google Drive is installed, it provides a scanning option on supported versions. The controls may vary with the app version.
- Open Google Drive using the account where you want to store the document.
- Find the camera or “Scan” option. It may appear under the add button.
- Position the document inside the camera view and capture it.
- Check the detected edges and adjust the crop if needed.
- Add another page if the same document has multiple required pages.
- Review all pages and save in the required format, if available.
Drive scans are stored in the selected Google account. Check the folder’s sharing settings and keep personal documents private. Download a copy to your phone if the application requires a file upload rather than a storage link.
On iPhone Using Files
On supported iPhone versions, the Files app includes a “Scan Documents” option.
- Open Files and choose the folder where you want to save the scan.
- Open the folder’s menu, usually shown as three dots, and select “Scan Documents.”
- Capture the page and check the crop.
- Add further pages where needed.
- Save the scan and give it a clear filename.
The selected location matters. A file saved in iCloud Drive may sync to your account, while an available “On My iPhone” location stores it locally.
If You Only Have a Camera App
You can photograph the document if the application accepts image files. Hold the phone parallel to the page so that the text is not distorted.
Check the resulting file format. Some phones save photographs in HEIC or another format that the portal may not accept. Export or convert the image properly if JPG or PDF is required.
Do not change the filename extension to pretend that the format has changed.
4. Check Every Page Before Saving
Open the scan and zoom in. Check the details the employer needs to read:
- Your name and identifying information.
- Qualification title and institution.
- Marks, grades and dates.
- Document or registration numbers, where relevant.
- Stamps, signatures and other required details.
Make sure all edges and required information are included. Automatic cropping can cut off a line near the bottom or part of a stamp.
Rotate sideways pages and remove accidental blank pages. If the scan is blurred, retake it. Compression or sharpening will not reliably recover text that the camera failed to capture.
Choose Colour or Grayscale Carefully
Colour can help preserve stamps, markings and other details. Grayscale may reduce file size for some documents, but use it only when it is accepted and important information remains clear.
A strong black-and-white filter can remove faint writing or stamps. Compare the filtered result with the original before using it.
If colour copies are specifically requested, keep the scan in colour.
5. Choose the Correct File Format
- JPG: Often suitable when a portal requests a photograph or a single document image.
- PNG: Can preserve sharp image details, but may produce a larger file depending on the content.
- PDF: Useful for keeping several pages together when the application accepts it.
Follow the required format rather than choosing only the smallest file.
For a CV created in Word or another document editor, export the original document to PDF instead of photographing the printed pages. This usually gives clearer text and avoids unnecessary image size.
A scanned PDF may contain page images rather than selectable text. Putting an image inside a PDF does not automatically turn it into a text-based document.
6. Reduce File Size Without Making the Document Unreadable
Keep an unchanged copy of the original scan before resizing or compressing it.
First identify what is making the file large:
- Unnecessary blank or duplicate pages.
- Large areas around the document.
- Image dimensions much larger than needed.
- High image quality settings that produce an oversized file.
For JPG or PNG Files
- Open the file in an image editor with a resize option.
- Crop unused background without removing document information.
- Reduce dimensions while keeping the original proportions.
- Save a new copy in the accepted format.
- If JPG quality settings are available, reduce quality gradually.
- Check the new file size and read the important details again.
There is no single image size that works for every document and portal. A page with small text needs more detail than a simple photograph.
Do not stretch an image to force it into a required shape. If exact dimensions are required, crop appropriately without distorting the content.
For PDF Files
Use a PDF application’s compression or optimisation option if available. Start with a moderate setting and review the output.
If the PDF remains too large, check for duplicate pages or oversized images. You may get a better result by preparing smaller, readable source images and rebuilding the PDF.
Some compression tools offer several quality levels. The smallest result is not necessarily suitable for an application.
If the document cannot meet the limit while remaining readable, contact the recruitment support channel for guidance. Do not remove required pages to make the upload fit.
7. Combine Pages Only When Required
A multi-page transcript may belong in one PDF. A portal with separate fields for your CV, certificate and experience letter usually needs separate uploads.
Do not combine everything simply because a tool allows it.
Before merging, arrange the files in the requested order. If no order is specified, use a logical sequence and keep each document’s pages together.
Combine Pages While Scanning
If you have not scanned the documents yet, a scanning app’s “Add page” option is often the simplest method.
- Scan the first required page.
- Add the next page to the same scan.
- Continue until all required pages are included.
- Review and reorder the pages if the app allows it.
- Save as PDF when that format is accepted.
Combine Existing Images Using Microsoft Word
If you have JPG or PNG scans and access to desktop Word, you can arrange them in a document and export it as a PDF.
- Create a blank document.
- Use “Insert” and “Pictures” to add the first image.
- Keep its proportions and size it so that the complete document fits on the page.
- Insert a page break before adding the next document image.
- Repeat for each required page.
- Check the page order and remove unintended blank pages.
- Save or export as PDF.
Menu wording varies by version. Some desktop versions offer a smaller-file option when saving a PDF. If you use it, check that the exported document remains readable.
This method places images inside the PDF; it does not make their text selectable. If the employer requests searchable text, additional preparation may be needed.
Combine Existing PDFs
Use a PDF editor with a “Merge” or “Combine files” function. Add the files, arrange them in order and save a new combined copy.
Keep the original files so that you can return to them if the merged result has missing pages or poor quality.
8. Name and Organise the Final Files
Use filenames that help you recognise the document:
Ali-Ahmed-Educational-Certificate.pdf Ali-Ahmed-Transcript.pdf Ali-Ahmed-Experience-Letter.pdf
These are examples, not a list of documents required for every application.
Follow any naming rule provided by the employer. Avoid putting your full identity number in a filename unless it is required.
Keep final upload files in a separate folder from drafts. This reduces the chance of selecting an older or oversized version.
A Worked Upload Example
The following requirements are fictional. They show how to prepare different files for different fields.
Suppose a portal requests:
- A photograph in JPG format, below 200 KB.
- An educational certificate in PDF format, below 1 MB.
- A two-page transcript in one PDF, below 2 MB.
The applicant should prepare three separate files:
- A JPG photograph that meets the stated size and any dimension requirements.
- A readable PDF containing the educational certificate.
- A PDF containing both transcript pages in the correct order.
They should not combine the photograph, certificate and transcript into one file because the portal provides separate upload fields.
If the transcript is too large, the applicant can compress it and review both pages. Removing the second page would make the document incomplete.
Protect Personal Documents When Using Tools
Online conversion and compression services may require you to upload documents to another company’s servers. Before using one, consider what information the document contains and review the service’s privacy and retention information.
A suitable local tool can avoid uploading the file to a conversion website. Cloud scanning apps may still sync files to an account, so check where your scans are stored.
- Keep document folders private.
- Do not create public sharing links for identity records.
- On shared computers, sign out and remove temporary copies you created.
- Avoid unknown tools that ask for unrelated account access.
Cropping, rotation and compression should improve presentation without changing the document’s contents. Do not edit names, marks, dates, signatures or stamps.
Check the File After Uploading
Wait for the upload to finish. If the portal displays a filename or preview, confirm that it matches the intended document.
If an upload fails, check the error message before trying again. Common causes include an unsupported format, excessive size or an interrupted connection.
If the application allows you to download or preview the uploaded file, use that option to verify it. Uploading documents may be only one part of the process; complete the remaining application steps and final submission.
Final Document-Upload Checklist
- The file format matches the upload instructions.
- The file is below the stated size limit.
- Any required image dimensions are correct.
- All required pages and sides are included.
- Text, dates, stamps and other important details are readable.
- Pages are upright and in the correct order.
- No document information has been altered.
- The filename identifies the correct document.
- I have kept an original copy.
- I have checked the selected file in the correct upload field.
Open the final files once more before submitting the application. Checking each file is easier than discovering a missing page or unreadable scan after the deadline.
